Payment: Though a valid credit card is required when you make your reservation, nothing is charged at the time of booking. All hotel fees are paid directly to the hotel, SXSW does not collect any reservation funds. Our partner hotels receive and process our reservations in late February/early March, which is when they will charge the deposit to the card on file. You can read more about our payment policy here.
Deposit: Our partner hotels process our reservations and assign confirmation numbers in late February/early March. Once the hotel assigns a confirmation number, they will charge an advance deposit to the credit card on file. The card on file only applies to the deposit. The deposit amount varies by hotel, and is detailed in the Reservation Agreement section of your reservation confirmation email.
Remaining balance after deposit:
- When you arrive at hotel check in, you must provide a valid physical credit card to pay for room, tax, and incidentals. It is your responsibility to know the method of payment for your reservation.
- If you do not intend to travel with the credit card that will be used to pay for your reservation, you must submit a Credit Card Authorization form to the hotel before you arrive. This allows you to charge your reservation, tax, and incidentals to a credit card that is not in your name (e.g. a company card that does not belong to the employee).
- Each hotel’s Credit Card Authorization form can be found on our Reservation Policies page in February. The hotel cannot accept this form until your reservation confirmation number is assigned and emailed to you in late February.
